Board of Directors meeting of
January 14, 2009
Meeting Minutes

Roll Call: Dave Dann, Tammie Homer, Dave Kelly, Steve Wood, Ken Romer, Richie Patrick, Steve Card, Lee Sherwood, Lloyd Hatfield

 Reports of Officers/Directors:

• State banquet will be this month1/31/09 at the Ramada. The DJ has been contracted and Dave Kelly ordered little race tracks and trophy cups will be in the middle. Thanks to Dave for doing this and keeping within the budget allotted by NYSMA. Dougs powersports has donated a helmet to raffle off and Steve Woods is going to ask Mr. Tinker if he would like to donate to the banquet as well.
• State races are scheduled and will be confirmed at the state meeting that is before the banquet. MMC is 6/27 & 6/28 with no Friday night practice. We will run a "fun" race on Friday night and not a points race we hope that this will help generate a little revenue from other clubs. The concession stand might close around 5:00 pm. There is a possibility of Doug's Fish fry truck coming in and being there for suppers. Richie and Ken will check out the details and report at a future meeting.  The question was raised about the concession stand loosing money to Doug's. The discussion was held as to have other clubs park their campers above the track. A dunking booth will be rented. More planning will be discussed at future meetings.  
• Road course race as a fun race and a possible points race next year as the drivers get used to the course. The race will be scheduled on a Saturday and to start at 1:00 pm. Date to be determined.
• Sign up for all members will be in March. Members will be notified of the clubs status, rule changes and the work schedule and the work schedule fee if they do not volunteer to help on race weeks.
• State race schedule: STMC 7/18 & 7/19, Syracuse 7/31 - 8/2, Sodus 8/21 & 8/22. These dates will be voted on at the January meeting by all clubs.
• Restrictor plate changes for Jr novice and novice will also be discussed in the January meeting.
• Dave has offered the use of his shop for the NYSMA tech meeting in March.

 

Reports of Committees: Rules committee handed out changes that were discussed at last meeting for review.  The bylaw 4.0.4 was revised. Motion was made and passed with changes.

 

Promotions:  Dave bought tool boxes to hand out to members who sign up at the time of the members meeting in March.

 

Fundraising: Date was set for the Applebees pancake breakfast it will be on 4/19/09. The bottle and can drive will be after superbowl weekend 2/7/09. We will meet at 9:30 at Quik Stop. Dave has more candy bars for sale. There will be a chicken BBQ scheduled a date is possibly 4/11/09 at Doug power sports. Dave will contact Doug and confirm at next meeting.

 

Rules: Dave will ask at the next NYSMA meeting if the rule books will be ready for distribution in time for our members meeting in March . We will have our changes and updates ready to put with the NYSMA rule books

 

Other:

• Dave would like to ask Brian to flag again this year. He did a great job his first year.
• Car show 3/28 at the McDonalds sports complex. 

New Business:

• Steve Woods would like to have techs inspect the heads. He will try to find info in the old rules and present at another meeting. He also would like to enforce the use of wrist bands for members to enter the pit areas that are allowed to be in there. He will present more information at a future meeting for the board to vote on.
• Steve is going to place a ad in "The Shopper" for new members.
• The posibility of Go Karts using the track for races has been suggested. More details are needed and a proposal/agreement will need to be presented to the board. This is a possible source of extra revenue to the club.
• Dave would like to purchase a fire safe for the storage of the tracks important papers. It would be more cost effective then paying for a safety deposit box at the bank which would run $ 75.00 per year.
• Dave would like to have a work day to clean out and organize files and paperwork from previous years.
• Taxes need to be filled out. Richie to contact Becky to see how to do from previous years.
